Privacy Policy

Sail Out ("Sail Out," "we," "our," or "us") is an early-stage web service, operated by its founding team, that helps families organize the transition to college. This Privacy Policy explains how we collect, use, store, protect, and share information when you use the Sail Out website and related services at sailout.app (the "Service").

By creating an account or using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

The short version

  • We collect only what the Service needs: your Google account basics (name, email, profile picture) and the planning information you choose to enter (tasks, dates, budget amounts, shopping items).
  • We do not sell or rent your personal information, and we show no ads.
  • The shopping list may include clearly marked "Find on Amazon" affiliate links. If you buy through one, Amazon pays us a small commission — the price you pay never changes, and no personal information is shared with Amazon.
  • Our visitor analytics are cookieless and aggregated.
  • Family workspace sharing is always opt-in, via an invite that the workspace owner must approve.
  • You can leave a shared workspace, wipe your workspace content, or ask us to delete your account and data at any time.

1. Who we are

Sail Out is an independent service operated by its founding team. We are the controller of the personal information described in this Policy.

2. Information we collect

Account information (via Google sign-in). Sign-in is handled by our authentication provider, Clerk, using your Google account. Through it we receive your name, email address, profile picture, and a Google account identifier. We never see or store your Google password — Sail Out has no passwords of its own.

Information you enter into your workspace. The Service stores what you choose to put in it, which may include:

  • Your role in the family (parent or student) and the display name you provide
  • Your student's name
  • College or university choices (name, location) and the expected move-in date
  • Tasks — names, due dates, priorities, notes, and completion status
  • Budget line items, including planned and actual amounts you enter
  • Dorm shopping list items, quantities, and price estimates
  • Your answers to the in-app feedback survey
  • The name and role you submit when requesting to join a family workspace

You control this information: everything above is provided voluntarily and is editable or deletable in the app.

Information collected automatically.

  • Aggregated, cookieless usage analytics via Vercel Web Analytics — page views, visit counts, referrers, and product events (for example, that a task was completed). These are not used by us to build a profile of you and do not involve advertising or cross-site tracking cookies.
  • Standard server and security logs (such as IP address and browser type) held by our hosting and authentication providers for security, abuse prevention, and diagnostics.
  • Session information maintained by Clerk (strictly necessary cookies) to keep you signed in securely.

3. Information we do not collect

At launch, Sail Out does not request, store, or intentionally collect:

  • Payment or card details (the Service is currently free of charge)
  • Government identification, passports, or driver's licenses
  • Uploaded documents, photos, or files
  • Medical records or health information
  • Precise GPS location
  • Biometric information

We also do not use advertising cookies or cross-site tracking, and we do not sell or rent personal information. If a future version of the Service introduces features that change any of this, we will update this Policy before those features become available.

4. How we use information

We use the information above to:

  • Create and secure your account and authenticate you via Google
  • Provide the Service: your journey timeline, tasks, readiness score, budget, and shopping planner
  • Operate shared family workspaces (invites, join requests, member roles)
  • Respond to support, privacy, and feedback requests
  • Understand aggregate product usage so we can improve the Service
  • Maintain security, prevent fraud and abuse, and debug problems
  • Comply with legal obligations

We do not use your personal information for advertising, and we do not sell it.

5. Family workspaces and sharing between members

Sail Out is built for families. If you link accounts into a shared workspace (via an invite code that the workspace owner must approve), the members of that workspace can see the content in it — including tasks, progress, names, budget amounts, and shopping items.

Joining is always explicit: you request to join with a name and role, and the owner approves or denies the request. You can leave a shared workspace at any time from Settings; leaving moves you to a fresh, empty workspace of your own and leaves the shared one intact for the remaining members. Please consider what you enter into a workspace that others can see — each member is responsible for the information they choose to share.

6. Legal bases for processing

Where laws such as the GDPR apply, we process personal information on these bases: performance of our agreement with you (providing the Service you signed up for), our legitimate interests (securing and improving the Service), your consent (where required, and revocable at any time), and compliance with legal obligations. We process only what is reasonably necessary for these purposes.

7. How we share information

We do not sell personal information. We share it only with the service providers that run Sail Out, and in the limited situations described below.

Service providers (sub-processors):

  • Clerk (Clerk, Inc.) — authentication and session management, including Google sign-in
  • Neon (Neon, Inc.) — the Postgres database where your workspace data is stored
  • Vercel (Vercel, Inc.) — application hosting and cookieless web analytics
  • Google — the sign-in identity provider you use to access the Service

Each provider processes information only as needed to provide its service to us and is bound by its own security and privacy commitments.

Affiliate links (Amazon). The shopping list may include clearly marked "Find on Amazon" links. These are affiliate links: if you make a purchase after clicking one, Amazon pays Sail Out a small commission at no extra cost to you. Clicking such a link only passes the search terms for that item (for example, "Twin XL sheets") — it includes no personal information and nothing else from your workspace. Once you are on Amazon's site, Amazon's own privacy policy and cookies apply, not ours. We record only the aggregate fact that a link was clicked, as part of the cookieless product analytics described above.

Other circumstances. We may disclose information if required by law or legal process; to protect the rights, safety, or property of Sail Out, our users, or the public; or, if Sail Out is involved in a merger, acquisition, financing, or sale of assets, as part of that transaction — in which case we will notify you before your information becomes subject to a different privacy policy.

8. International transfers

Sail Out's providers process and store data in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.

9. Data retention and deletion

We keep your information while your account is active. You can:

  • Edit or delete individual items (tasks, budget lines, shopping items) at any time in the app
  • Leave a shared workspace or start fresh from Settings, which detaches you from the shared data
  • Request full deletion of your account and associated data by emailing privacy@sailout.app — we will complete verified requests within 30 days

Residual copies in encrypted backups are purged on our providers' standard backup rotation schedules.

10. Security

We use industry-standard safeguards: encryption in transit (TLS), encryption at rest provided by our infrastructure providers, authentication via Clerk, and strict per-family scoping so that one family's data is never accessible to another account. No method of transmission or storage is 100% secure, but we work to protect your information and will notify you as required by law in the event of a breach affecting your personal data.

11. Your rights

Depending on where you live (including under the GDPR and the CCPA/CPRA), you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. Most information can be viewed and edited directly in the app; for anything else — including access, export, or deletion requests — email privacy@sailout.app and we will respond within the timeframe required by applicable law. We do not discriminate against you for exercising your rights. You may also lodge a complaint with your local data protection authority.

12. Children

The Service is intended for families preparing for college and is not directed at children under 13. We do not knowingly collect personal information from children under 13; if we learn that we have, we will delete it. Users under 18 should use the Service with the involvement and consent of a parent or legal guardian — which is, after all, what Sail Out is for.

13. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the updated version at sailout.app/privacy with a new "Last updated" date, and we will provide notice in the app or by email for material changes. Your continued use of the Service after an update means you accept the revised Policy.
